We understand that ensuring the security and accountability of our customer’s records is of absolutely paramount importance. In addition to the physical security of our buildings, NEdocs has established internal controls, policies, and procedures that ensure compliance with:

SOC 2 Type 2 Audit

In order to better assist our customers in meeting their information security requirements, we have recently completed a SOC 2 Type 2 audit covering the Security and Availability Trust Services Principles for our document scanning and records storage solutions in both Manchester and Hooksett, NH. In doing so, NEdocs has become one of the first SOC 2 Type 2 audited document scanning service bureaus in the New England area.

The SOC 2 Type 2 report is based upon an objective audit conducted by a third party firm in accordance with attestation standards established by the American Institute of Certified Public Accountants. These standards require a thorough examination to obtain reasonable assurance about whether controls are suitably designed and operating to meet applicable trust services criteria. The Type 2 report shows that NEdocs followed these standards for a 6 month period, unlike the Type 1 which only accounts for “a point in time.”

Continuous Training

All NEdocs employees regularly attend seminars related to the ever-changing security and privacy demands of our industry, including frequent HIPAA trainings, in order to stay ahead of the curve and guarantee the safety of your documents. To ensure continued compliance with these various regulatory requirements, NEdocs also engages an auditing firm that provides periodic review and recommendations for internal control and compliance.

Secure Facility

Whether you’re inspecting our storage facilities, our main office, or our production and service area, all NEdocs locations are secure, locked buildings. Every person who enters, visitors and vendors alike, are required to sign a confidentiality agreement prior to entering and must always be accompanied by an authorized NEdocs employee.

Employee access is only granted with the presence of an active security FOB or non-reproducible security key. To provide another layer of security, surveillance cameras are strategically located on the outside perimeter and inside of each building. Storage of electronic back-up media and other highly sensitive documents are protected in the fire-proof vault in our record center.
